Overview
Congratulations Alumni!
As you turn in your room keys after graduation and embark on your next adventure, there are some other “key” changes that ITS would like to make sure you are aware of as you turn in your RMC network and email accounts.
Your account will gradually be restricted between now and the beginning of next May (the year following your graduation) when it will no longer exist. The changes are detailed below, but we have provided a checklist of steps you’ll need to take to make certain you don’t leave behind any information or files.
It is your responsibility to move emails and/or files that you wish to keep from your RMC account to a personal account and to change any other online services tied to your RMC account. We are unable to extend the deadlines in the checklist, so please read that list and this email carefully for important information about your transition from student to alum status and take timely action accordingly.
Timeline
Immediately After Your Graduation Day:
-
Your RMC email account will be migrated from DUO to Microsoft Multi-factor authentication (MFA). Please install Microsoft MFA before your graduation day.
-
You will no longer be able to access Google Workspace, the U:\ drive, and other applications provided for current RMC students. Please save any information from these services to another location that does not depend upon your RMC account.
Recommended Step:
-
Purchase a personal Microsoft 365 license for access to OneDrive and programs before you graduate. The license you currently use is provided to you because you are an enrolled student; to continue to use Microsoft 365, you will need to purchase a personal license.
Beginning in May the Year Following Your Graduation
-
All access to Microsoft 365 (Office), your student email account, and MyMaconWeb will be permanently removed.
Details
1. Your RMC Email Account Will Move from Duo to Microsoft MFA
After graduation, you will no longer use DUO for multi-factor authentication when signing in to college resources/systems. You will be switched to Microsoft MFA which works seamlessly with the Self-Service Password Reset functionality you currently use.
When you first login to your email after your graduation day, you will be asked to verify the information you last provided on the Self-Service Password Reset page.
Please visit https://aka.ms/ssprsetup NOW to review your RMC Microsoft account contact information and update/add your personal email. Adding/verifying your personal email is very important.
2. No Access to Google Workspaces, U:\ drive and Other Applications
Google Workspace
You will lose access to your RMC sponsored Google Workspace files and they will be deleted following your graduation day. Please be sure to download the files to your computer or transfer these to a personal google account through Google’s direct transfer process.
U: Drive
If you have files stored in your U: drive, please transfer these files to a personal storage device before graduation day.
Other Applications
Access to other systems reserved for current RMC students will also be removed during this transition from student to graduate. Examples include Canvas, Canva, Quizlet, Zoom, OpenAI, Grammarly, Adobe, Indeed, and Calendly.
3. Recommended Step: Purchase license for OneDrive/Microsoft 365
If you would like to migrate your RMC OneDrive account data and maintain access to Office 365 programs, you must purchase a subscription. The Office 365 personal subscription includes:
-
One person using multiple PCs/Macs, tablets, and phones for $99.99 per year.
-
Premium versions of Word, Excel, PowerPoint, Outlook for PC, macOS, iOS and Android.
-
1TB OneDrive cloud storage.
Steps to purchase the Microsoft 365 (Office), annual subscription
-
Visit Microsoft 365 Subscription and choose the personal subscription.
-
You will need to register with a personal Microsoft account (existing or new account associated to your personal email address).
-
Shop: Your purchase is processed and completed in the Microsoft Store. You can install/sign into Office 365 on your personal device(s) after the purchase is complete.
Options for moving your OneDrive documents if not purchasing a subscription
If you do not plan to purchase your own subscription, please visit Microsoft's step-by-step guide to transfer personal documents from your OneDrive for Business storage to a location that you manage, such as a local drive, external drive, USB drive or another cloud storage solution BEFORE your RMC student O365 license and account is removed.
4. Final Account Removal
On the first day of May in the calendar year following your graduation day, your Office 365 license will be removed and your RMC student @go.rmc.edu email address will be removed. Prior to these changes, please transfer any external personal accounts (i.e. social media, financial, etc.) using your RMC email address to a personal email. Remember to share your new email address with any faculty and staff who may have been using your RMC address.
You will no longer have access to your RMC OneDrive files and other Office 365 software programs (Word, Excel, PowerPoint, etc.). See options above if you would like to retain access by purchasing a personal subscription.
Please move any external personal accounts (i.e. social media, financial, etc.) using your RMC email address to a personal email as soon as possible. You can export your RMC mailbox using the full Outlook desktop application (not webmail or the mobile phone Outlook app) if you would like to have a permanent static copy of your RMC emails. You may achieve this by exporting your mailbox to a .pst file that you can then import/open in a personal mail account. By default, you will only be able to view messages from the last 12 months. You can adjust this setting prior to exporting your mailbox if you would like older content.
Please contact the IT Service Desk if you have any questions about our account retention policy or need assistance with the transition of your accounts from student to alumnus.
